Landed Costs and AP Invoices

We import goods from all over the world and are new to SAP Business One.

We are using Landed Costs to track costs for Shipping, Port Clearance, Marine Insurance, Transport from Port to Warehouse etc

We order the goods and when received, create a Goods Receipt PO (GRPO).  Immediately we create a Landed Cost (LC) document copying from the GRPO and enter the amounts for the various categories of landed cost that we have defined.  When we "Add" the LC document the journal is posted correctly, increasing stock value and crediting our "Services Received Not Invoiced" (SRNI) control account - a creditor balance to accrue to expense pending receipt of an AP Invoice.

 

When we receive an AP invoice from a Business Partner (BP) for one of the Landed Costs, we enter the AP Invoice and select "Copy from - Landed Costs" but no LC documents appear in the list to select.  To get an LC document to appear in this list it appears that you must enter the code of the BP that will invoice the Landed Cost as the Broker on the LC document.

 

This presents two issues - Firstly it is very easy to "Add" the LC document without entering any broker details - it is then too late and we can never link the AP invoice to the LC document

Secondly, it is likely that more than one BP will be invoicing for the range of landed costs on the LC document ie a different BP will invoice for Port Clearance to the BP that invoices for Transport. Whilst you can enter multiple vendors on the LC document (to cover a scenario where several loads from different suppliers are on one shipment) you cannot enter multiple Brokers.  It is possible to overcome this by entering further LC documents copying from previous LC documents or going back to the GRPO and reopening for Landed costs before entering another landed costs with another broker - this is very cumbersome and prone to error - there must be a better way

 

We are simply seeking to achieve 2 things:

1.     to have accurate landed costs added to the cost of stock at the time of receipt to ensure profitability is correct - this works fine

2.     to enable the person entering the AP invoices for landed costs to be able to pull through the expected landed costs entered at the time of goods receipt and match to the AP Invoice - this is where the problem occurs if there are more than one BP invoicing the landed costs

 

Any practical suggestions from those using Landed Costs would be gratefully received
